Melton Property Group ("we," "us") is a small, family-run property management business. We take your privacy seriously and try to keep this straightforward.
What we collect
- Name, email address, and phone number
- Property and lease information (unit, rent, dates, co-tenants)
- Maintenance requests, including photos you upload
- Messages you send through the resident portal
- Basic technical info (browser, IP) for security and uptime
How we use it
We use your information to manage your tenancy: respond to maintenance, coordinate vendors, send notices and receipts, process applications, and stay in touch about your home. We do not sell your personal information.
Tenant data is access-controlled
The resident portal is gated by login. Each tenant only sees their own profile, lease, messages, and documents. Co-tenants on the same lease can see shared maintenance requests and lease-level documents. Owner/admin access is restricted to Jessi Melton and authorized staff.
Third parties we rely on
- Hosting & database: our website, portal, and stored data run on a managed cloud platform under industry-standard security practices.
- Email delivery: transactional emails (invitations, maintenance updates, vendor dispatch) are sent via a third-party email provider.
- Vendors: when we dispatch a contractor for a maintenance job, the vendor receives the property address, a description of the issue, and photos. Your phone number and email are only shared when we explicitly choose to.
- Tenant screening: for new applicants, a screening service may be used to verify identity, income, and rental history. We'll tell you which service before any check runs.
How long we keep it
Active tenant records are kept for the duration of your tenancy and for a reasonable period after move-out (typically 7 years) to satisfy tax, insurance, and legal recordkeeping. You can ask us to delete information that we're not legally required to retain.
Your rights
You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Just email us. We aim to respond within 30 days.
